We’re excited to announce Recycly 2025.14 - This release introduces major improvements to document templates (with more coming soon), collections & drop-offs workflows, asset processing, customer portal behaviour, QuickBooks integration, and more.

Document Templates & Reporting

  • Users can now set and modify the display order of reports for each system area (Inbound Orders, Purchase Orders, Sales Orders) via a new menu option under Documents / Templates > Config.
  • New merge fields dropdown shows the model name to help users quickly locate available fields.
  • Ability to filter merge fields to just the current System Area (e.g. Inbound Orders or Sales Orders), making it far easier to browse the most commonly used fields.
    • Note: One of our future releases soon, will include a "Commonly Used Fields" area to make it easier to choose the most common fields from any related System Area when creating or amending your Document Templates.
  • Added a new Website setting: Customer Portal – Document Templates, allowing selection of which templates customers can print for Quotes, Orders and Invoices.
  • Improved Word template handling so empty (“nullable”) fields appear blank instead of showing zero.
  • Added improved logging and increased timeouts for DOCX → PDF conversions to improve reliability.

Quotations, Sales Orders & Inbound Orders

  • Renamed “Customer PO Ref” to “Customer’s PO Ref.” for clarity.
  • Added a new optional “Customer’s SO Ref.” field, configurable via system settings.
  • Services are now automatically copied from Sales Orders to Inbound Orders created from them.
  • Added support for ad-hoc Collection/Site addresses on Quotes and Sales Orders, and made Site Contact optional.
  • Added a new “Create Inbound Order & Collection” action, enabling users to confirm quantities and generate both in a single step.
  • The new combined creation action now automatically creates an Inbound Order in the Operations stage and redirects users to the newly created Collection.
  • Inbound Orders now correctly duplicate expected items and packages when duplicated.
  • The “Create Collection / Drop-off” button is now hidden on Quotes once an Inbound Order has been created.
  • Users can now enable a system setting allowing inbound quotations to be created without requiring an Inbound Order.
  • Account Manager on new Inbound Orders now automatically copies from the Customer record when available.

Collections & Drop-offs Dashboard

  • Updated wording, layout and terminology for clearer navigation and usability.
  • Improved behaviour when multiple items match a search; users are still taken directly to the snapshot screen when that is their chosen action.
  • Improved tooltip and positioning of re-use / recycle indicators on Item Processing Actions.
  • Clarified terminology on Search Items / Lots forms.
  • Improved serial number entry list appearance and corrected the placeholder guidance.
  • Keyboard navigation behaviour improved so the Tab key moves correctly between fields.
  • Snapshot creation from the dashboard now shows Customer, Job Number, Collection Number and Processing Status.
  • Users can change the Asset Type directly from the New Snapshot screen.
  • When Processing Status is changed in a snapshot, the system now automatically fills the date and user.

Asset Types, Items & Lots

  • All header fields for Asset Types (i.e. Is an Inbound Asset Type, May hold sensitive data, Is a Component, Enable Parts Harvesting / Demanufacture, Can be Sold, Can be Purchased) can now be viewed and edited inline from the main Asset Types list view.
  • Added a new Sales Type option (Inbound Only, Outbound Only, Inbound & Outbound) for Asset Types, Consumables, and Services, filtering item lists depending on the document being created.
  • Added the ability to change the Asset Type of existing Items or Lots while keeping stock levels correct.
  • Added a Processing Completed By field to inventory items, defaulting to the user who processed the item.
  • Added a Re-use / Recycle classification to Processing Action Types to improve reporting.
  • Storage size is no longer required when quick-entering data storage devices.

Collections → Snapshot Enhancements

  • The quick entry table for snapshot creation is now available system-wide wherever snapshots are initiated.
  • Improved navigation, ensuring pressing Enter in text areas does not trigger unintended actions.
  • Better accuracy when using the Tab key to move between fields.

Customer Portal

  • Added a new configuration section in Website Settings allowing administrators to choose which document templates are used when customers print Quotes, Orders, or Invoices.
  • Fixed an issue where there was a different Quote template on the portal to the one that gets generated internally (and typically gets emailed to customers).

Reporting & API

  • Added a new reporting field stock_actuals_waste_summary_by_usage grouping waste by EWC code and usage type (Re-use vs Recycle).
  • Expected Item Summary is now available via API.

Activities View

  • Activities View is now enabled across all relevant parts of Recycly for improved task tracking and follow-up.

Collections & Contacts Improvements

  • Collections & Drop-offs Kanban stages now display in the correct order.
  • Tags are no longer hidden on contacts that are Invoice, Delivery, Other or Private addresses.
  • Address book imports now correctly update the company type to “Site.”

QuickBooks Integration

  • QuickBooks connection and synchronisation is now fully supported.
  • Credit Notes and Invoice Payment Sync now work correctly.
  • Users are notified when QuickBooks requires enabling Custom Transaction Numbers.
  • The “Include Customer Name in Invoice Address” label has been clarified.
  • The default “Run Automatic Sync As” user is now the user who sets up the connection.
  • QuickBooks Setup Assistant now includes all required guidance and links to the updated knowledge base.
  • Categories from QuickBooks Products & Services are no longer synchronised to prevent issues when creating invoices.
  • Added safeguards preventing multiple accounting integrations from being active at the same time.
