Every collection or drop-off with something hazardous on it prints a Hazardous Waste Consignment Note from the Print Hazardous Waste Consignment Note button. RecyclyERP ships a standard note for each nation the waste can come from, and you can choose your own Document Template instead, for any nation, or for a single collection.
1. The standard notes
Each load gets the note for its Note Nation, shown on the collection's Waste Transfer tab and worked out from the site postcode (or the customer's address on a drop-off). The standard notes are:
- Hazardous Waste Consignment Note (England)
- Hazardous Waste Consignment Note (Wales)
- Special Waste Consignment Note (Scotland)
- Hazardous Waste Consignment Note (Northern Ireland)
- Hazardous Waste Consignment Note (Outside of the UK)
You can change their wording and logo under Templates & Documents > Document Templates without choosing anything here.
2. Making your own template
There are two ways:
- Duplicate a standard note. Open it under Templates & Documents > Document Templates, click Duplicate Template, keep its Word file, give it a name, then edit the copy. This is the quickest way, because every merge field is already in place.
- Start from scratch. Create a new template in the "Collections / Drop-offs / Transfers / Outbound Deliveries" System Area and upload your own Word document.
3. Choosing a template for each nation
- Go to Settings > Inbound > Hazardous Waste Consignment Notes.
- Choose Choose a Template. One picker shows for each nation: England, Wales, Scotland, Northern Ireland and Outside of the UK.
- Pick your template for each nation you want to change. A blank picker keeps that nation's standard note, and shows in grey which one that is.
- Click Preview beside a picker to see the template filled in with a collection you pick. Nothing is saved and nothing is printed.
- Click Save.
Choosing Standard Template again and saving empties every picker, so every load prints its standard note again. The setting belongs to each company: a collection always follows its own company's choice. A company outside the UK sees only the "Outside of the UK" picker.
Every change is recorded on your company's Log Note (Users & Companies > Companies), with the old and new value.
4. The warnings
- Choose a Template with every picker blank will not save: choose at least one template, or switch back to Standard Template.
- Another nation's standard note in a picker shows an amber warning, for example "This is the standard England note, so Welsh loads will print in the English format." You can still save it.
- An archived template shows an amber warning, and loads for that nation cannot print a consignment note until you choose another one. Printing is refused rather than printing anything else.
- A template in use cannot be deleted, whether it is chosen in Settings or set by hand on a collection. Archive it instead.
5. Setting a template by hand on one collection
An Inventory administrator can change the template for a single collection or drop-off:
- Open the collection and go to its Waste Transfer tab.
- Under Note Nation, Consignment Note Template shows the template that will print, with a grey line saying where its default comes from.
- Pick another template and Save. An amber line says it was set by hand and names the default.
- Click Use Default to go back to the default.
If the Note Nation changes after a template was set by hand, the template is kept and a second amber line asks you to check it. Every change, Use Default included, is recorded on the collection's Log Note. A duplicated collection does not copy a template set by hand. Everyone else sees the box read-only.
On Inbound > Collections & Drop-offs you can add the Consignment Note Template column from the column chooser, and an Inventory administrator can tick several rows and change it on all of them at once.
6. Reprints and the checks
- Every print follows the current choice, reprints of notes already handed over included.
- The checks follow the load's Note Nation, never the template: a Scottish or Northern Irish load still needs its SEPA or NIEA number, a load on several vehicles still prints one note per vehicle, and the code printed is still recorded on the load.
- Printing a chosen template from the Print menu at the top of a collection runs the same checks. Printing a template meant for a different load is refused and names the template that load needs.
